What a purchase order should contain

A purchase order names the buyer and supplier, carries a unique PO number and order date, lists each item with quantity and agreed unit price, and states delivery date, delivery address and payment terms. Quoting the supplier's quote number ties the order to the price you agreed.

Purchase order vs invoice

The buyer issues a purchase order before goods are supplied; it is a commitment to buy at stated terms. The supplier then sends an invoice that should quote the PO number so it can be matched and paid quickly.

Approvals and control

Many businesses require a signed PO before any spend. Use the authorised-by line, keep PO numbers sequential, and keep a copy with the delivery note and invoice so the three can be matched.

Frequently asked questions

Is this purchase order maker free?

Yes. Create and download as many documents as you need without signing up.

Is a purchase order legally binding?

A PO accepted by a supplier generally forms a contract on its terms, but the details depend on your jurisdiction. Seek advice for large or unusual orders.

What is the difference between a PO and a quotation?

A quotation is the supplier's price offer; a purchase order is the buyer's order placed on the basis of that offer.

Should I include tax on a PO?

Show tax if you want the agreed total to be explicit. You can set a rate under Taxes & adjustments.
